Dates and Hours

  • Move-In: Friday, October 5, 2012 from 10:00 a.m. to 3:30 p.m. (Set up must be complete by 4 p.m.)
  • EXPO & Packet Pick Up Hours: Friday, October 5, 2012, from 4 p.m. to 8:30 p.m. and Saturday, October 6, 2012 from 9 a.m. to 5 p.m.
  • Move-Out: Exhibitors must move out after 5 p.m. on October 6, 2012.

Floor Plan

  • Over 3,3000 square foot exhibit hall
  • All booths are 10' x 10' (call 703-587-4321 for larger booth options or special requests)
  • Booth space will be assigned on a first come, first served basis once payment in full has been received.

Pricing

  • $600 per booth.
  • Exhibitor identification sign, wastebasket and trash removal service is provided for no additional charge.
  • Exhibitor listing included in all race packets.
  • Exhibit booth carpet, electricity, phone service and any other services are the responsibility of each individual exhibitor and must be ordered separately, in advance if desired.
  • Items which can be hand carried by the Exhibitor may be delivered through the front door.
  • Exhibitors wishing to use the Holiday Inn's loading dock must notify Jeff Ruday, EXPO Coordinator in advance via e-mail at jeff@jeffruday.com.
  • The loading dock can accommodate two vehicles at the same time, so all loading dock usage must be scheduled in advance.
  • Unless prior arrangements are made in advance with Jeff Ruday, all exhibitors using the loading dock will be responsible for moving their equipment from the loading dock to the exhibit hall.
  • With advance notice the Westin may be able to provide labor to assist exhibitors load in. All costs of this labor will be the responsibility of the exhibitor and payment must be made in advance or when the service is rendered.

Audience

Over 5,000 Woodrow Wilson Bridge Half Marathon participants are expected to attend the EXPO. The EXPO is free and open to the public, and it will be promoted across all Woodrow Wilson Bridge Half Marathon promotion and advertising.

Payment

  • To reserve your booth space for the 2012 Woodrow Wilson Bridge Half Marathon Expo you must complete the online Agreement below and make payment in full online. Online payment can be made via PayPal or with a major credit card. No other form of payment will be accepted.
  • Cancellation refunds are contingent upon ability to resell the space and will incur a $50 processing fee. No refunds after September 15, 2012.

Woodrow Wilson Bridge Half Marathon Expo Agreement

As an Exhibitor at the 2012 Woodrow Wilson Bridge Half Marathon (“WWBH”) EXPO, I agree to the following terms and conditions:

  • The standard booth size is 10 feet by 10 feet. One table, two chairs and a table cloth are provided at no additional charge. The price for a single booth is $600.
  • Exhibitor agrees to be open for business between Friday, October 5, 2012, from 4 p.m. to 8:30 p.m. and Saturday, October 6, 2012 from 9 a.m. to 5 p.m.
  • Exhibitor understands and agrees that payment in full must be received by the WWBH before booth space is confirmed. Online registration and payment is required.
  • Exhibitor agrees to be responsible for all services and other charges contracted for by the Exhibitor's representatives. This includes the following services and others: phone service for credit card processing, additional tables and chairs, carpet in booth space, signage, electric power beyond normal 110v household current, lighting, delivery and pick up charges, loading dock charges, etc.
  • Loading dock space at Holiday Inn Alexandria SW-Eisenhower Avenue is limited and must be scheduled in advance through the EXPO Coordinator at jeff@jeffruday.com.
  • The Exhibitor agrees to set up between the hours of 1:00pm-4:00 on Friday, October 5, 2012. All exhibitors must be completely set up no later than 4:00pm.
  • The Exhibitor will not insert nails, tacks or screws into the walls, will not use scotch tape on walls and will use only decoration materials approved by the Holiday Inn Alexandria SW-Eisenhower Avenue.
  • The Exhibitor will be responsible for any damage to Holiday Inn Alexandria SW-Eisenhower Avenue's property caused by Exhibitor, or its representatives.
  • All exhibitors are responsible to conform with City of Alexandria fire code standards.
  • Booth space assignment will be at the discretion of the WWBH management.
  • Exhibit fees are refundable until September 15, 2012, less a $50 service charge, only if the space can be resold. Except as the Exhibitor's rental obligation may be refunded as set forth in the previous sentence, the Exhibitor is responsible for total booth rental irrespective of the reason for cancellation, including cancellation by the Exhibitor because of the failure of an Exhibit to arrive for any reason.
  • The WWBH and of its sponsors, vendors and partners are in no way liable for damage or loss to any Exhibitor's properties through theft, fire, accident or any other destructive cause, whether the result of negligence or otherwise or for refunds in the event of the cancellation of the EXPO.
  • The WWBH is not liable for inability to Exhibit due to weather or terrorist activities. Exhibitors are advised to carry additional insurance to cover Exhibit material, public liability insurance for injury to the person and property of others, and cancellation insurance. The WWBH assumes no liability for any injury that may occur to visitors attending the EXPO, Exhibitors, their agents and employees, or others.
  • Exhibitors agree not to make claims against the WWBH, its employees or agents, except for breach by the WWBH, of this contract.
  • The WWBH reserves the right to require changes in any Exhibit that is deemed detrimental to the EXPO, Exhibit Hall, other Exhibitors or attendees or not in compliance with City of Alexandria fire regulations.
  • Exhibitors must confine their activities and/or distribution of any material to the space for which they have contracted.
  • The Exhibitor is charged with having knowledge of national, state and local restrictions on merchandising, advertising or promotional activities undertaken by any Exhibitor and with payment of any necessary taxes.
  • The Exhibitor will be required to collect and remit to the Commonwealth of Virginia sales taxes on merchandise sold.
  • The WWBH will provide each Exhibitor with information explaining how to collect and remit the taxes.
  • Each Exhibitor will be required to provide a Taxpayer Identification Number to the WWBH.
  • Each Exhibitor must configure its display so as not to obstruct other Exhibitors.
  • The WWBH reserves the right to refuse booth rental space at its discretion.
  • The WWBH, retains exclusive right to use of the name "Woodrow Wilson Bridge Half Marathon," and its official logo on t-shirts and other imprinted items. Exhibitors may not sell or distribute items, which include the words "Woodrow Wilson Bridge Half Marathon," or its logo without advance written authorization of the WWBH.
  • The license granted by this contract is personal and may not be transferred without the written consent of the WWBH.
  • The full agreement is contained in this letter and contract. There are no verbal agreements of any kind.
